Link your accounts so that contacts, projects and appointments from Exterio flow into Craft as customers, jobs and appointments — and so that Craft recordings, call summaries and custom fields appear back on the matching Exterio project. The connection also powers Craft’s speed-to-lead texting and voice agents, which look up callers, check your team’s real calendars, and book appointments straight into Exterio.
Steps to Connect
1. Get an API key from Exterio
Exterio issues API keys per account. Ask your Exterio contact for a key for Craft. The key acts as one of your Exterio users, so everything Craft writes — contacts, projects, appointments, notes — shows up in Exterio’s activity log under that user’s name. Ask Exterio to create it for a dedicated user such as Craft AI so the history stays readable.
2. Connect Exterio in Craft
Open Integrations in Craft
In the Craft web app, go to Company Settings > Integrations.
Connect Exterio
Open the Exterio integration, click Connect Exterio, and paste the API key.
Let the first sync finish
Craft reads your account, registers a webhook so changes reach Craft within seconds, and imports the last 90 days of contacts, projects and appointments. Users are matched to Craft users by email address, then by full name.
Exterio allows one webhook listener per account. If another tool already receives Exterio’s events, the Exterio page in Craft will say so; Replace existing webhook points the account at Craft instead. Without a webhook, Craft still checks Exterio every 15 minutes and looks for new leads every minute.
3. Review the Exterio settings
The Exterio page in Craft has four sections. Every choice is stored as an Exterio id, so renaming a status or work type in Exterio never breaks it. Click Refresh options after adding statuses, work types or users in Exterio.
Speed to lead
Pick the contact statuses that mean “new lead to contact” (for most accounts, New under Lead). A contact entering one of those statuses in the last 48 hours starts speed-to-lead outreach. Optionally limit outreach to certain contact sources, or start it on every lead form submission.
Booking
What the voice and texting agents write when they create records: the contact type, status and owner for new leads (Exterio accounts can require an owner), an optional source, the event type used for appointments (this decides whether Exterio emails the customer a confirmation), the default attendee, and the bookable users whose Exterio and personal calendars decide which slots are open.
Follow-up triggers
Choose the project statuses (for example Proposal Sent) that open a follow-up opportunity in Craft. With nothing selected, follow-up starts once an appointment passes on a project that has not sold. Mark your Lost statuses so lost projects never get follow-up.
Job types for the agents
Your Exterio work types (Roofing, Siding, Gutters, …) are the job types the agents can book. Map them under Contact Center > AI CSR > Integrations, and set your booking hours on the single Exterio business unit’s capacity rules.

Back into Exterio, Craft writes:
- Recording summaries and links, appended to the project’s notes.
- Call summaries from the voice agent, appended to the project the agent booked.
- Custom fields you map under AI Ride-Along settings, written to the project or contact.
- Opt-outs: a STOP reply revokes the contact’s text consent in Exterio.
