Get set up and recording your first appointment in under 10 minutes.

Step 1: Download the App

Download Craft at craftflow.com/download — available for iPhone, iPad, and Android.

Open the app and log in with the email and password from your invite.

Don’t have login credentials? Ask your manager or admin to send you an invite from Settings > Users in the Craft dashboard.

Step 2: Allow Permissions

When the app asks, tap Allow for:

  • Microphone — required for recording (this is the most important one)
  • Notifications — so you get reminders to record at appointments
  • Location (optional) — helps auto-match recordings to jobs in your CRM

If you accidentally denied microphone access: Settings > Privacy & Security > Microphone > find Craft > toggle ON

Step 3: Record Your First Appointment

Open the Craft app when you arrive at the job

Tap the Record button

Confirm or select the customer/job

Place your device for best audio

Phone: Put it in your shirt pocket with the microphone facing up. iPad: Keep it with you throughout the entire appointment — don’t leave it in another room.

Run your appointment as normal

When you're done, tap Stop

Wait for the green checkmark

This means your recording uploaded successfully.

Your recording will be scored and ready to review within minutes.

Do a 10-second test recording before your first real appointment. Play it back. If you can hear yourself clearly, you’re good to go.

Using Checkpoint (Real-Time AI Coaching)

Checkpoint gives you AI coaching during the appointment — not after.

How to use it:

  1. While recording, tap the Checkpoint icon
  2. AI analyzes your conversation so far
  3. You get instant tips: what to cover next, how the customer is responding, objection suggestions

Best times to use Checkpoint:

  • After your inspection, before presenting options
  • When the customer is reviewing paperwork
  • During any natural pause

It takes 2 seconds to glance at. Customers won’t notice.

After Your Appointment

Your recording is automatically:

  • Transcribed — full text of the conversation
  • Scored — each step of your sales process rated 0-5
  • Summarized — AI highlights 2 things you did well and 1 area to improve

Find it all in your Library (bottom menu of the app).

Frequently Asked Questions

What if I don't have cell service at the job?

No problem. Craft records offline and uploads automatically when you reconnect to WiFi or cell signal. Just keep the app open until you see the green checkmark.

Can my manager hear my recordings?

Yes — managers and admins can review recordings and scores. That’s how they coach you. Think of it like a virtual ride-along. You can also review your own recordings and scores anytime.

What if I forget to record?

Build the habit: open Craft when you arrive, hit Record before you knock on the door. Some teams set up automatic reminders through dispatch notifications.

Does it drain my battery?

Minimal impact. A typical 1-2 hour appointment uses about 5-10% battery. Start with 20%+ and you’ll be fine.

Can I pause the recording?

Yes. Tap Pause for phone calls or private moments. The app also auto-pauses for incoming calls. Tap Resume to continue.

What's the DISC personality thing?

Craft analyzes the customer’s communication style during the conversation and tells you their personality type (Dominant, Influential, Steady, or Conscientious). This helps you adjust your approach. You’ll see this in Checkpoint.
